Terms & Conditions

   

Black Diamond Disco – Wedding DJ / Packages – Booking Terms and Conditions


This contract reflects the verbal agreement between Black Diamond Disco and the hirer/booking party. It includes any terms agreed upon prior to its issue. No alterations may be made to this contract by the hirer without prior written consent from Black Diamond Disco.


1. Booking Secured


A booking is secured for the requested date once the deposit has been received. Bookings remain provisional until the deposit/reservation fee is paid. This deposit is non-refundable but may be transferred to another available date, subject to our availability. If we are unavailable for the new date, the deposit remains non-refundable.


2. Reservation Deposit


The deposit/reservation fee must be paid in advance to secure entertainment. Your booking is not confirmed until this fee is received. Once paid, it confirms acceptance of all terms and conditions by the hirer. Deposits are non-refundable. Any refund is strictly at the discretion of Black Diamond Disco.


3. Payments


Full payment is required at least 7 days prior to the event date.


4. Cancellation by Client


Cancellations must be communicated via telephone and confirmed by email.

If the hirer cancels less than 60 days before the event, full payment is required unless due to an Act of God or National Disaster. Other cancellation circumstances may be considered for a discretionary waiver at Black Diamond Disco’s discretion.


5. Emergency Cancellation by Black Diamond Disco


If we are unable to attend your event, we will endeavour to provide a suitable replacement at no extra charge. If no alternative is available, all monies paid, including the deposit, will be refunded within 7 days after the event date.


6. Setup and Take Down Times


Please allow up to 60 minutes before and after performance time for safe setup and removal of equipment, unless otherwise agreed. Venue access must be arranged accordingly.


7. Social Media


We occasionally take photos/videos of the dancefloor, venue, and other event aspects. Guests may appear in these for promotional use on platforms like Facebook and Instagram, and may be included in your selfie pod photo link (if booked). Please contact us if you have questions.


8. Sound Limiters


The hirer must inform us in advance if the venue uses a sound limiter. We reserve the right to decline bookings at venues with such limitations.


9. Safe Venue Power Supply


The hirer must ensure the venue’s electrical supply is compliant with the HSE EAW Act 1989 and provide Electrical Installation Safety Certificates (e.g., NIC EIC reports) upon request.


10. Public Liability & Electrical Safety


We can provide proof of Public Liability Insurance and PAT Testing Certification upon request, covering all equipment used.


11. Safety & Supervision


The hirer is responsible for guest supervision and must ensure venue staff manage the premises safely. For events with guests under 16, the client or parent is responsible for their behaviour and safety.


12. Abuse or Threatening Behaviour


Any abuse or threats from guests, venue staff, or management will result in immediate termination of the performance with no refund.


13. Damage Compensation


The hirer is responsible for any damage to our equipment, vehicle(s), or belongings caused by guests, customers, or venue staff. Costs may be billed directly to the booking party and are payable within 7 days.


14. Start and Finish Times


Agreed performance start and finish times are binding. Extensions may be allowed at the discretion of Black Diamond Disco and the venue.


15. Playlists & Requests


Client music requests are welcome and should be submitted in writing prior to the event. We will aim to play a reasonable number of your selected tracks.


16. Equipment Damage


The hirer must ensure all our equipment is respected. Damage caused by guest misuse will be billed directly to the hirer and must be paid within 7 days post-event.


17. Late Venue Access


We are not liable for any refund, in part or full, if delayed access is due to prior events running late or venue-related restrictions that hinder setup or performance.


18. Access & Parking


If the venue lacks parking, additional parking fees incurred by us may be charged to the hirer.


19. Shared Space & Power


If we are performing alongside a band or other entertainment, the client must ensure there is sufficient space and separate power outlets available for both parties.


20. Marquee & Outdoor Events


For marquee bookings:


  • The work area must be dry.
  • A minimum of 2 x 13A sockets must be located within 15 meters.
  • We will not perform outdoors in bad or impending bad weather.


Final Summary


To secure entertainment, the deposit must be paid in advance. Your booking is not confirmed without this payment. Deposits are non-refundable unless otherwise approved at the sole discretion of Black Diamond Disco.
